Signals for managers: where to step in

Where a conversation is worth having: falling scores, overdue training, expired health & safety checks — for the people in each manager’s reach.

Manager alerts for employees with declining scores or expired medical checks.

A manager responsible for dozens of people across several locations has no time to open every score, every course and every health and safety record one by one. The Signals page does it for them: for the people in their reach, it gathers what the other modules have noticed and is worth a conversation — a score falling three periods in a row, training past its due date, required health and safety training or a medical check that has expired. It is meant for unit and area managers and for HR.

How it works

  1. Harmoniq looks only at the people in your reach. Your reach comes from the organisation: the units, areas, departments or people you manage. Inactive employees and leavers do not appear.
  2. It checks KPI scores. For each scorecard it takes each person’s last three calculated periods. If the score fell every time and by at least 10 points overall, a signal appears with the scorecard’s name and the two values, for example “Shop sales: 82 → 64”.
  3. It checks training. Assigned courses and tests that are unfinished and past their due date; the signal says how many.
  4. It checks health and safety. Health and safety types required for every employee where the person’s latest record has expired; the signal names them.
  5. The result: a list of the people with at least one signal, each linked to their record. On the home dashboard the manager also sees how many people have signals, without opening the list.

Example: a hotel group

An area manager runs four hotels with 90 employees. On Monday morning her dashboard shows “Signals: 3”. She opens the list: a receptionist’s score is falling (78, then 70, then 61), two housekeepers are past the due date of the course on cleaning products, and one of them also has an expired periodic medical check. She knows where to call before she hears it elsewhere: what changed at reception, who books the medical check, when the course will be finished.

Who sees what

  • Unit manager: the signals of the people in their units.
  • Area manager: the signals of the people in every unit of the area.
  • HR, with company-wide reach: the signals of every active employee.
  • Falling scores appear only to people allowed to see their team’s scores, and only if the plan includes the Performance module. Training and health and safety appear to anyone with access to the employee list.
  • Employees have no signals page about themselves: they see their scores, courses and health and safety record in those modules.

What it does not do

  • It does not judge or grade anyone: each signal says exactly what was seen, and the conversation stays with the manager.
  • It does not use AI: everything is calculated in the app, from the modules’ own data.
  • It never uses sick leave. Someone’s health is no reason to flag them to their manager.
  • It sends no notifications of its own: signals are shown on their page and on the dashboard. Reminders about deadlines come from the modules themselves, to the people concerned.

Frequently asked questions

Why is there no signal for someone whose score fell just once?

Because one weak month can be chance. A signal needs three calculated periods in a row, lower each time, by at least 10 points overall. A period with no data breaks the run.

When does a signal go away?

As soon as its cause does: the course is finished, a new health and safety record is entered, or the next score stops falling. The list is worked out again every time it is opened.

Can I see signals for people in another unit?

No. Signals follow each manager’s reach; anything outside it does not appear.

What needs to be in place?

The organisation (who manages whom), scorecards with calculated scores, courses with due dates and health and safety types marked as required. Each signal starts from its own module’s data.
