Health and safety training and medical checks have due dates, and when the labour inspectorate visits, what matters is knowing, for every person, what is up to date and what has expired. The health and safety module keeps that record for the whole company: the types of training and checks with their frequency, who did them and when, the signed sheet attached, and alerts before anything expires. Whoever keeps the health and safety records (HR, by default) uses it; every employee sees their own record.
How it works
- Set the types. For example induction training, periodic training or the periodic medical check: each with its validity in months (or “once”) and whether it is required for every employee.
- Record what was done. Choose the type, the date, who delivered the training or check, a note and the participants. A group session is recorded once for everyone, and the signed sheet is attached to each participant.
- Harmoniq works out the validity. The next due date follows from the date recorded and the type’s validity. Each person’s latest record of each type is what counts; older ones stay in the history.
- See everyone’s status: valid, expiring soon (within the next 30 days), expired, or missing (a required type the person has never done). The list filters by these states.
- The result: 30 days before expiry the employee gets a reminder, and whoever keeps the records gets a single summary with how many trainings and checks in their reach are expiring soon. Anything expired also appears in managers’ signals.
Example: a network of warehouses
A distribution company has six warehouses and 140 employees. The health and safety officer runs periodic training at the Ploiești warehouse for 25 people: he records it once, with every participant, and attaches the signed sheet. The following month, his summary shows that eight medical checks in his reach expire within 30 days, and each of the eight has already had a reminder. A forklift driver opens “My health & safety record” on his phone and sees when his check expires.
Who sees what
- Whoever keeps the records: records and sees the files of the people in their reach; HR, with company-wide reach, sees them all.
- Employees: their own record, with its history and expiry dates.
- Managers: see in their signals who in their reach has expired required training or a medical check.
Limits
- Harmoniq keeps the records and tells you; it does not schedule sessions and does not replace your prevention and protection service or occupational doctor.
- It has no fields for medical results: it keeps the date, who carried out the check, the note and the document you attach.
- Health and safety records do not feed KPI scores.
Frequently asked questions
Do I have to upload the signed sheet for each person?
No. For a group session you upload the sheet once and it is attached to every participant.
When does the employee get the reminder?
Once, 30 days before their latest record expires.
What does “missing” mean?
A type marked as required for every employee, for which the person has no record at all.
Can I see only what expires this month?
Yes: filter the list by “Expiring within 30 days”, “Expired records” or “Missing records”.
