Direct messages give colleagues a company place to write to each other, without handing out their personal phone number and without another chat group where private life mixes with tomorrow’s shift. A conversation is one-to-one or in a group, messages arrive instantly, and conversations are truly private: only the participants read them. Any employee with an account can use them, if the plan includes them and the company has left them on.
How it works
- Choose one colleague or several. With one person, Harmoniq opens your conversation, the same one every time. With several, you create a group conversation of up to 50 people, with an optional name.
- Write and attach. A message holds up to 5,000 characters and at most 5 files: photos, PDFs or Office documents. You can correct a message within 15 minutes; a deleted one disappears for everyone, leaving “message deleted” in its place.
- The message arrives at once. The recipient sees it straight away if Harmoniq is open and gets a single notification per conversation until they read it, not one for every message. A conversation can be muted.
- See who has read it. The conversation shows how far each participant has read. The result: you know whether the message was seen without asking again.
- Groups are easy to run. Whoever created one adds and removes people and renames it; anyone can leave, and if the owner leaves, the conversation passes to the longest-standing member.
Example: a network of estate agencies
A network has 15 agencies in three cities. An agent writes to the branch manager about a moved viewing and attaches a photo of a contract annex, without using a personal phone. The eight agents in one district share a group conversation for weekend shifts. When an agent leaves the company, they can no longer sign in, and the messages are kept only as long as the company decided.
Who sees what
- The participants, and only they, read a conversation. For anyone else, administrators and moderators included, it does not exist.
- Anyone signed in as someone else (Harmoniq support, or a manager using “Sign in as this user”) does not see that person’s direct messages or their notifications.
- Moderators see a message only if a participant reports it, and then only that message; they can delete it.
- Someone added to a group sees the messages from the moment they joined.
What the company decides
- On or off: direct messages can be turned off for the whole company.
- How long they are kept: until someone deletes them, or 90 days, 180 days, one year or two years. Older messages, files included, are deleted automatically every night.
Limits
- Only between colleagues with an active account in the same company; nobody outside it can be messaged.
- No audio or video calls.
- Direct messages are included in Professional and Enterprise.
Frequently asked questions
Can HR read employees’ messages?
No. Only the participants read them. A message reaches the moderators only if one of the participants reports it.
What about a message sent by mistake?
You can correct it within 15 minutes or delete it; a deleted message disappears for every participant, with its files.
Do I get a notification for every message?
No. You get one per conversation, until you open it. A muted conversation sends none.
Can we keep messages only for a while?
Yes: choose 90 days, 180 days, one year or two years, and older messages are deleted automatically.
